Appointment Procedures

It will soon be time for your in-clinic appointment and we’re really looking forward to seeing you!

We want to give you our usual warm welcome and relaxed experience. To help us do this, we need to make you aware of our COVID-related changes so you know the differences to expect when you come for treatment.

Our new procedures – which everyone will need to adhere to – are intended to minimise face-to-face contact, keep everyone safe and ensure you receive treatment of the highest standard.

IMPORTANT: Please make yourself familiar with all the information below before attending your appointment:

Updates about skin reactions, that may or may not be COVID-19 vaccination-related, are coming in thick and fast from our medical colleagues. These reactions centre around skin inflammation, but are not limited to this, so other unexpected reactions could occur.

To minimise any reactions, please read the current advice outlined below which may affect your next treatment with us and rearrange your appointment with us if necessary.

Please do not re-arrange your vaccination appointment – this must be a priority.

Dermal Filler Treatment
You should not have treatment 2 weeks before and up to 3 weeks after your vaccination.

All other treatments
You should not have treatments until at least 2 weeks after your vaccination. You can continue to have your treatment up to the date of your vaccination.

Consultations
You can continue to have your consultation at any time provided you feel well enough.

Seven days before your appointment
We’ll send you an SMS text message asking you to confirm or cancel. Please DO respond – we have a waiting list and can fill the appointment, but only if you tell us it’s available.

Before your appointment
If you, or anyone you have been in contact with, have any COVID symptoms (fever, persistent cough, loss of smell or taste) we will need to cancel your appointment and reschedule it after your 10 day isolation period.

24 hours before your appointment
You need to have either confirmed or cancelled your appointment at this stage – if not, your appointment will be cancelled automatically and you will need to rebook. Please refer to our terms and conditions for late cancellation charges that may apply.

Plan to come alone
At this time, we are unable to accommodate friends, family or children. If you need a chaperone, please call us on 01282 420886 at least 72 hours before your appointment.

If someone brings you to your appointment, please let them know they will have to wait in the car.

People who live in the same household may book appointments that coincide and attend together.

Wearing of masks
In accordance with current Government COVID regulations, please ensure you are wearing a facial mask on arrival and at all times when outside the treatment room.

If you’re having a facial treatment
Please come without any make-up on, or allow time for removing it in the car before your appointment. We will ask you to temporarily remove your facial mask at an appropriate time during treatment.

If you’re having a hair removal treatment
We cannot shave you, so please shave as instructed – if we cannot treat you because you have not prepared as instructed, you will be charged for your appointment.

Using the toilet
We politely remind everyone to go to the toilet at home, or work, before coming to the clinic.

Our toilet will be available on request but will be kept locked to monitor its use and ensure it is kept clean – we have to allow 15 minutes between each use, so please bear in mind it may be available when you need it. We apologise for any embarrassment or inconvenience this may cause.

Arrival
When you arrive, please wait in your car and call us on 01282 420886 to let us know that you’ve arrived. When we are ready for you, we will call your mobile to invite you in.*

Access the clinic via our private garden entrance – we will be at the door, ready to unlock it and welcome you in. Please note the Crow Wood Lounge entrance will not be in use.

Please ensure you are wearing a facial mask.

*If you are unable to come by car, please let us know at least 72 hours before your appointment, so we can make alternative arrangements.

Belongings
To minimise items coming into the clinic, we ask that you only bring the following items into the building:

  • car keys
  • method of payment
  • mobile phone – only if absolutely necessary

Please leave bags and your coat (if the weather is warm enough) in the car. There will be an umbrella stand in the entrance if it rains.

Beverages
Drinks will not be readily available for the time being, but please ask for a glass of water which we’ll be happy to provide.

Health check
On arrival, we will once again ask after your health and check you’re happy to go ahead with treatment.

Treatment discussion
You will already have talked to your clinician before your appointment, so they will be able to get straight on with treatment.

If, prior to your treatment,  you need to discuss anything further, please call us at least 48 hours in advance to organise a phone or video call.

Extra treatments
Please avoid asking for extra treatments when you are in your appointment. Although we’ll do our best to accommodate your request, our timings are designed to allow for cleaning and clearing the air between patients – asking for extras may compromise this.

Similarly, if you are not sure what you want, please don’t overbook your treatment time. We have a reduced number of appointments available and lots of people waiting for them.

Payment and booking additional appointments
Depending on what’s happening in the clinic, we will implement the safest of the following methods:

  • We will bring our card machine to you in the treatment room and arrange to call you later you to book your next appointment
  • We will ask you to come to reception and complete the whole process there

We prefer for you to pay with a card or Apple Pay.
If you would like to make a cash payment, please let us know on arrival.

Follow-ups
For routine follow-ups, we may suggest organising a video call. For treatments such as Botox, where you need an in-clinic appointment, please call us on 01282 420886 and we’ll arrange it for you.

Post-treatment instructions
You should have received pre and post instructions via email after your consultation. If you don’t have them, please let us know, and we will resend them to you.
